1. Who we are

2. Data we collect from our guests
When a guest makes a reservation (directly, through Booking.com, Expedia, or other channels), we collect and store internally: name, phone number, email address, mailing address, and booking details (dates, apartment, payments). This data is used solely to manage the reservation, communicate with the guest, handle the business's accounting, and meet our legal and tax obligations in Panama.
3. Google Contacts integration
We use the Google People API (Google Contacts) internally as a management tool: when a reservation is confirmed, our internal system may automatically create a contact entry in the business owner's Google Contacts account, using the name, phone number, email, and address already recorded for that reservation. Every contact created this way is labeled "Clientes Apartamentos" to keep it separate from other, personal contacts.
About this integration:
- The data used comes exclusively from reservations already made with us -- no other contact in the Google account is read, accessed, or modified, beyond checking for a matching phone number to avoid creating duplicates.
- The data is stored in only two places: the business owner's Google Contacts account, and the business's internal management spreadsheet (Excel).
- We do not sell, share, or transfer this data to any third party, and we do not use it for advertising purposes.
- Access to this integration can be revoked at any time from the Google Account's third-party access settings.
- A guest who would like their information removed from Google Contacts can request this by emailing the address above.
4. Other services we use
Besides Google Contacts, we use third-party services to run the business: Beds24.com (channel manager), QuickBooks Online (accounting), and Paguelofacil (payment processing). Each of these services has its own privacy policy; the data we send them is limited to what is needed to process the reservation, payment, or accounting record in question.
5. Security
Access to the internal management tools (including the Google Contacts integration) is restricted to the hotel's owner and authorized staff. Credentials for third-party APIs are stored locally and are not shared outside the organization.
